You can have VM:Webserver for OfficeVision find time periods during which people, equipment, and conference rooms you specify are available. You can then schedule a single meeting to occur during one of those time periods.
- On the VM:Webserver for OfficeVision main menu, click
Schedule a Meeting. The Schedule a Meeting page displays. - In the Start field, enter the time you want VM:Webserver for OfficeVision to start with in searching for availability. (If you are running ESA Calendaring Feature Release 2 or above, leave the Start field blank; VM:Webserver for OfficeVision will use the business day start and end times configured in OfficeVision/VM for each user.) In the Hours and Mins fields, enter the duration of the meeting.
- In the From and Through fields, specify the start and end dates for the period over which you want VM:Webserver for OfficeVision to search for availability. Specify a From date that falls on or after today's date and a Through date that is the same as or later than the From date.
- In the Location and Attendees fields, specify the names of the conference rooms and of the people and equipment whose availability you want VM:Webserver for OfficeVision to check. You can check availability for a total of 40 locations and attendees. You can send the meeting notice to a total of 150 locations and attendees. If you specify the name of a distribution list, each member of the list counts toward the total. If the meeting is to take place in a location not listed in your OfficeVision/VM configuration (for example, outside), you cannot type that location here. Instead, you must specify it in the Location field of the meeting notice as information only. Click these icons as necessary:

to see the full names of the specified conference rooms and attendees
to see the schedules of the conference rooms and attendees on the specified meeting date
- Select
from the pulldown menu and click
. VM:Webserver for OfficeVision lists the time periods during which the specified locations and attendees are all available. - Determine which time period suits your needs, then enter the times you want the meeting to start and end in the Start and End fields on that row. The times must fall within the time period indicated in the From and To columns. The default for the Start field is the time in the From column. The default for the End field is the time in the To column. You must complete at least one field.
- Click
. The Send a Meeting Notice page displays. Complete that page and click
.
