Task: Schedule a Recurring Meeting

You can schedule a meeting to recur at a frequency you specify over a period of time you specify, or you can add a note to schedules for multiple days.

  1. On the VM:Webserver for OfficeVision main menu, click Schedule a Meeting Schedule a Meeting. The Schedule a Meeting page displays.

  2. If you want to schedule a recurring meeting, in the Start field, enter the time you want the meeting to start. In the Hours and Mins fields, enter the duration of the meeting.

    If, instead, you want to add a note to the schedules for those days, enter the keyword NOTES: (or the minimum abbreviation NO) in the Start field. Leave the Hours and Mins fields blank.

  3. In the From and Through fields, specify the start and end dates for the period over which you want the meeting to recur. Specify a From date that falls on or after today's date and a Through date that is later than the From date. You can schedule daily recurring meetings for up to 13 weeks or the last holiday specified in your OfficeVision/VM configuration, whichever comes first. You can schedule weekly, biweekly (every other week), and monthly recurring meetings for up to a year or the last holiday specified in your OfficeVision/VM configuration, whichever comes first.

  4. In the Location and Attendees fields, specify the names of the conference room in which the meeting is to take place and of the people and equipment you want at the meeting. If you want to notify more attendees than you can specify on this page, add them when you create the meeting notice. You can send the meeting notice to a total of 150 locations and attendees. If you specify the name of a distribution list, each member of the list counts toward the total.

    If the meeting is to take place in a location not listed in your OfficeVision/VM configuration (for example, outside), you cannot type that location here. Instead, you must specify it in the Location field of the Send a Meeting Notice page as information only.

    Click these icons as necessary:

  5. Select Schedule recurring meeting from the pulldown menu and click Submit. The Schedule a Recurring Meeting page displays.

  6. If necessary, modify the values in the Start, End, From, or Through fields. Under Frequency, click the button that indicates how often you want the meeting scheduled. For weekly, biweekly, and monthly events, also select the day on which to schedule the meeting (for example, Monday) from the appropriate pulldown menu. For monthly events, also select the occurrence of that day on which you want the meeting scheduled (for example, Third, for the third Monday of the month).

  7. Click Submit. The Send Meeting Notice page displays. Complete that page and click Send.
